CRM, intake & marketing

From Lawmatics intake to an open matter, without retyping

Lawmatics runs your intake and marketing. We make sure a new hire turns into a fully opened matter in every system your firm uses, not just one.

Talk about your Lawmatics setup

Lawmatics integration, built around your firm

Lawmatics is where many firms capture leads, run intake forms, send engagement documents and track prospective matters until they are hired. It also handles appointments, tasks, documents and some time and billing. For most firms, though, the matter is worked in other systems: practice management, documents, docketing and Microsoft 365.

Without a connection, conversion is where the handoff breaks. Someone retypes the client and matter into the PMS, sets up the document workspace, adds the matter to docketing and shares it with the team, usually over several days. Team changes in Lawmatics don't reach the other systems, and key dates from the intake form never make it to the people who need them.

We connect Lawmatics through its API and outbound webhooks. When a matter converts to hired, the client and matter are created downstream with your firm's rules, the right team gets access, and intake answers are carried forward for review. When the team changes in Lawmatics, access changes in the other systems too. Everything runs in your firm's Microsoft 365 and Azure tenant.

What we connect

The Lawmatics data we work with

Matters

Status, stage, practice area, attorneys and assigned staff, and your custom fields. Lawmatics calls matters "prospects" in its API.

Contacts, companies and relationships

Clients and the other parties linked to a matter, such as opposing parties and referrers, for matching and conflict checks.

Appointments and tasks

Read and written in both directions, so consultations and follow-ups can sit alongside the rest of the matter calendar.

Files and notes

Documents uploaded to a matter can be downloaded and filed to your document system, and notes added to the record.

Intake forms

Form entries read for the facts they contain, and website forms can submit straight into Lawmatics.

Time, expenses and invoices

Time entries and expenses can be read and written. Invoices are read-only through the API.

For your IT team

How the Lawmatics integration works

  • Lawmatics enables developer access. API access is off by default. Your firm asks Lawmatics support to enable Developer Settings, then an administrator creates a developer app under Settings and authorizes it with a dedicated integration user. The resulting token acts as that user.
  • A long-lived token, handled carefully. Lawmatics tokens don't expire, have no scopes, and are revoked by contacting Lawmatics support. We store the token in your firm's Key Vault, document the revocation steps in your runbook, and use a dedicated integration user so access isn't tied to a person.
  • Webhooks need the Premium plan. Outbound webhooks are a Premium plan feature, set up by your administrator in Lawmatics settings with a signing secret. We verify every signature. Webhooks carry IDs only, so we read the full record through the API, and we confirm which events your account delivers before relying on them.
  • A reconciliation sweep as backup. Lawmatics does not replay failed webhook deliveries, so the integration also runs a scheduled sweep for recently changed records. Without the Premium plan, that sweep becomes the main trigger, and changes are picked up on a schedule rather than immediately.
  • Runs in your tenant. The integration is deployed into your firm's Azure subscription, with secrets in your Key Vault and every write logged in your own environment.

Questions about connecting Lawmatics

Lawmatics already integrates with our practice management system. Why add more?

If the built-in integration covers what you need, use it, and we'll tell you so. Where we help is the rest of matter opening: the document workspace, docketing, the Microsoft 365 team and your firm's own rules for numbering and staffing, done in one step.

Do we need a particular Lawmatics plan?

The API needs Developer Settings enabled by Lawmatics. Real-time webhooks need the Premium plan. Without webhooks we can still build the integration, but it checks for changes on a schedule instead of reacting the moment they happen.

Can dates from our intake forms reach docketing?

Yes, as candidates for review. Dates captured at intake, such as an incident date, can be carried into the new matter and flagged for a person to confirm. Deadlines are still calculated by your docketing system and confirmed by your staff.
