Workflow

CRM that knows what happened after the client signed

A CRM that knows what happened after the client signed: matters, billings and key dates on every account.

Talk about this workflow

Business development data stops being useful the moment a client signs, because the CRM never hears about the matter. Relationship partners end up asking accounting for billings and asking associates for status, and the CRM fills up with duplicate contacts.

We connect your CRM to your practice management system so contacts are deduplicated by rule, each account shows its open matters, stage, fees billed and collected and next key date, and partners get alerts that matter: a key client with no activity in a while, or a matter crossing a budget threshold.

How it works

The problem todayRelationship partners can't see matters, billings or key dates without asking accounting.
  1. Contacts deduplicatedContacts and companies are matched by rule (email, domain, client number) with a merge review queue.
  2. Matter rollupsOpen matters, stage, fees billed and collected, and next key date are written to the account.
  3. Signals, not noiseAlerts go out when a key client has no activity in X days, or a matter crosses a budget threshold.
Business development decisions based on what is actually happening in each matter.
Before we start

What you’ll need

  • API access to your CRM (some editions or legal CRM products require a specific plan or agreement, which we check first).
  • Read access to matters and billing totals in your PMS.
  • Agreement on which system owns contact details.

Using something else? If it has an API, a database or a reliable export, we can usually work with it.

Common questions

Will matter details be visible to everyone in the CRM?

Only what you choose. We roll up the fields relationship partners need and respect your CRM’s sharing rules, so sensitive matter detail can stay in the PMS.

How are duplicate contacts handled?

Matching uses rules such as email address, domain and client number. Probable duplicates go to a merge review queue rather than being merged automatically.

Does this work with Litify?

Litify runs on Salesforce, so the same approach applies, subject to Litify’s own integration requirements, which we confirm before quoting.
