Practice & firm management

Make Clio the matter list every other system agrees with.

We connect Clio to your docketing, document management, CRM and Microsoft 365, so a matter is opened once and stays the same everywhere.

Talk about your Clio setup

Clio integration, built around your firm

For most firms on Clio, Clio is the system of record: clients, matters, responsible attorneys, time and bills. Everything else in the firm, from the document workspace to the docketing calendar to the CRM, depends on that data being right.

When those systems aren't connected, the same matter gets typed into three places by different people. A change of responsible attorney never reaches docketing, a closed matter keeps producing reminders, and nobody is sure which system has the correct client name. Each system drifts a little further from Clio every week, and someone ends up reconciling them by hand before every billing cycle or court date.

We treat Clio as the owner of the fields it should own and keep the rest of your stack in step with it, using the Clio API and its webhooks. The code runs in your firm's Microsoft 365 / Azure tenant, follows rules your firm approves, and sends anything uncertain to a person for review. Your firm owns the code and can see every change it makes. If an app already listed in Clio's directory covers what you need, we'll tell you.

What we connect

The Clio data we work with

Matters

Create, update and close matters, including status, practice area, responsible and originating attorney, responsible staff and matter custom fields.

Contacts and matter parties

People and companies, client records, and matter relationships such as opposing counsel, with their email addresses and phone numbers.

Calendar entries and tasks

Read and write calendar entries and tasks linked to a matter. Entries we create carry a reference back to the source record, so updates never create duplicates.

Time and expenses

Time and expense entries, linked to the calendar entry, note or communication they came from. Clio records time in seconds, and we handle the conversion.

Documents and notes

Upload and download matter documents, work with folders and document categories, and post matter or contact notes.

Billing data

Read bills, balances and trust line items for reporting and dashboards. Clio does not allow bills to be created through its API, so bill generation stays in Clio.

For your IT team

How the Clio integration works

  • OAuth, under a Clio user your firm chooses. Clio's API has no service-account login: every connection acts as a Clio user. We use a user your firm designates, usually an administrator, who authorizes the app once. The integration sees what that user can see, and the tokens are held in your Key Vault.
  • A private app, and a plan check. Clio supports private apps that serve a single firm without an App Directory listing. Integrations are not available on Clio's EasyStart plan, so we confirm your plan before any work starts.
  • Webhooks for most changes. Clio pushes changes to matters, contacts, calendar entries, tasks, time and expense entries, documents and bills. Clio webhooks expire and must be renewed, so a scheduled job renews them and raises an alert if one is suspended. Records without webhooks, such as matter relationships, users and notes, are checked on a schedule.
  • Deletions and request limits. Deleted records cannot be detected by polling, so we subscribe to delete events and also reconcile record IDs periodically. Clio limits requests per user token, more tightly during business hours, so bulk loads run overnight and every request asks only for the fields it needs.
  • Runs in your tenant. The integration runs in your firm's Azure subscription under its own identity, with every change logged. Your IT team can disconnect it from Clio or from Azure at any time without us.
Workflows

Where Clio fits

Two-way matter sync: practice management ↔ docketing

One matter, identical in every system, without anyone keying it twice.

Signed client → matter open everywhere at once

Matter opening goes from days of handoffs to minutes, and every system starts with the same data.

Client call → transcript in the DMS → summary, follow-ups and calendar

The call is documented, filed and on the calendar before the attorney has hung up the headset.

Questions about connecting Clio

Clio already has an app directory. Why would we need you?

Often you won't. If a listed app connects the two systems you care about and works the way your firm does, use it, and we'll say so. We build where your own rules need to apply across several systems at once, such as intake to matter to workspace to docketing, or where no listed app does the job.

Who at our firm has to approve the connection?

A Clio user your firm chooses, usually an administrator, authorizes the app once, and the permissions it asks for are fixed in the app settings. Access can be revoked from Clio at any time. Your firm also controls the Azure side, so the integration can be switched off from either end.

We use Clio's Court Rules. Will that conflict with our docketing system?

Clio marks calendar entries created by its Court Rules feature, so we can tell them apart from everything else. If you also run a separate docketing system, we agree with you which one calculates deadlines for which matters, so the same case is never calendared by two rules engines.

Can you help us migrate into Clio?

Yes. The API can create clients, matters, contacts, custom field values, calendar entries, tasks, notes and documents, so we script repeatable loads with reconciliation reports your staff sign off on. Bills cannot be created through the API, so historical invoices need a separate plan, which we agree with you during mapping.

Running Clio with other systems?

Tell us what you use and where your staff re-key data. We’ll tell you honestly what’s possible, and what your vendors already cover.
