Workflow

Matter migrations that don't break everything around them

Move to a new practice management or document system with every field accounted for and your integrations still working on day one.

Talk about this workflow

Vendor migration tools usually move the core data and drop the rest: custom fields, history, picklist values and the links other systems relied on. The problems surface weeks later, when a report doesn’t reconcile or an integration starts failing because a matter ID changed.

We treat a migration as a project you can verify. Every field is mapped in a workbook your staff sign off on, scripted dry runs load a test environment and produce reconciliation reports, and an ID crosswalk keeps old and new identifiers together so integrations, reports and document links keep working. A final delta load keeps cutover downtime short.

How it works

  • Legacy PMS / DMS
  • New PMS / DMS
  • Everything integrated with them

  1. Mapping workbookEvery field, picklist and custom value is mapped, including the ones the vendor's tool ignores.
  2. Repeatable dry runsScripted loads into a test environment produce reconciliation reports (counts, totals, samples) that your staff sign off on.
  3. ID crosswalkOld and new IDs are stored together, so integrations, reports and document links keep working.
  4. Delta cutoverA final catch-up load covers anything that changed since the last full run, so downtime is short.

Before we start

What you’ll need

  • Export or API access to the old system and import or API access to the new one.
  • A test environment in the new system for dry runs.
  • A firm sponsor who can make decisions on mapping questions.

Using something else? If it has an API, a database or a reliable export, we can usually work with it.

Common questions

Can you work alongside our new vendor’s onboarding team?

Yes. Vendors often handle the core load well. We cover what their tools leave out, the reconciliation and the systems connected around it.

How do we know nothing was lost?

Each dry run produces reconciliation reports: record counts, financial totals and sampled records compared side by side. Your staff sign off before cutover.

What happens to our existing integrations?

The ID crosswalk lets connected systems find the same matter in the new platform, and we update or rebuild those connections as part of the plan.
