Calls, email & calendars

RingCentral calls, voicemail and faxes, filed to the right matter.

We match RingCentral calls, recordings, voicemail, texts and faxes to clients and matters, file them where they belong, and turn them into follow-ups people actually see.

RingCentral integration, built around your firm

RingCentral is the phone system for many small and mid-size firms: calls, voicemail, business texting and fax under one account. A great deal of client contact runs through it, identified by nothing more than a phone number.

On its own, none of it reaches the matter. Missed calls from clients wait until someone checks the call log. Voicemails sit in individual mailboxes. A faxed order arrives as a PDF that has to be forwarded or saved by hand before anyone can docket it. Notes from a call depend on someone typing them up and filing them.

We use RingCentral's API and its event subscriptions to react as things happen. When a call ends, its log entry and recording are matched to a client and matter by phone number and contact rules. Missed calls from known clients become return-call tasks for the responsible attorney. Voicemail and inbound faxes are filed to the matter and routed for review. Anything that can't be matched with confidence goes to a short review queue instead of being guessed. It all runs in your firm's Microsoft 365 / Azure tenant.

What we connect

The RingCentral data we work with

Call log

Caller and called numbers, direction, result (answered, missed, voicemail), start time and duration for each call, across the account or per user.

Call recordings

Recording files for calls that were recorded, downloaded and filed to the matter workspace.

Voicemail

New voicemails with the audio file and RingCentral's transcription where one is available.

Texts and faxes

Read inbound text messages and faxes, which arrive as PDFs, and send texts or faxes from a user's number.

Users and extensions

Map extensions and direct numbers to staff, so a call lands on the right person's task list.

Presence

Read and set availability and do-not-disturb, for example while an attorney is in a scheduled hearing.

For your IT team

How the RingCentral integration works

  • A private app on your account. The integration is registered as a private app for your RingCentral account, which RingCentral does not need to review. Scheduled jobs sign in with a JWT credential that one of your users creates and restricts to that app. Reading the whole firm's call log and recordings requires that user to have administrator-level permissions.
  • Events as they happen. RingCentral pushes call, missed-call, voicemail, text and fax events by webhook. There is no event for "recording ready", so after a call ends we fetch the call log and recording with retries until they appear.
  • Webhooks we watch. RingCentral verifies webhook deliveries with a shared token rather than a signature, so we add our own controls in front of the endpoint. A subscription that fails repeatedly is permanently disabled by RingCentral, so we check subscriptions daily and recreate any that stop.
  • Paced downloads. RingCentral applies its tightest per-user request limits to call log and recording downloads. We queue those requests and pace backfills rather than pulling everything at once.
  • Testing on your account. RingCentral no longer offers a free developer sandbox, so testing happens on your account, or a paid developer environment, using internal test calls before anything touches client data.
Workflows

Where RingCentral fits

Client call → transcript in the DMS → summary, follow-ups and calendar

The call is documented, filed and on the calendar before the attorney has hung up the headset.

Signed client → matter open everywhere at once

Matter opening goes from days of handoffs to minutes, and every system starts with the same data.

Questions about connecting RingCentral

RingCentral already logs calls to some systems. Why would we need you?

RingCentral offers call-logging connectors for some practice management and CRM systems, and if one does what you need, we'll tell you. We build the parts a connector doesn't cover: matching calls to the right matter by your rules, filing recordings and faxes to your document system, and creating follow-ups.

Can we get transcripts and summaries of calls?

Yes. If your firm licenses RingCentral's RingSense AI, we can read its transcripts and summaries through an API that RingCentral currently labels beta. Otherwise we transcribe recordings inside your tenant with a service your firm approves. Either way, summaries are labelled and reviewed by a person.

Our phones are AT&T Office@Hand. Does that matter?

It works, but it matters. AT&T Office@Hand and Verizon's version of the service run in a separate RingCentral environment with different API addresses, so we confirm your provider at the start and configure for it.

What if a client calls about one of several open matters?

The call goes to a short review queue, where a person picks the matter with one click. The system never guesses.

Running RingCentral with other systems?

Tell us what you use and where your staff re-key data. We’ll tell you honestly what’s possible, and what your vendors already cover.
